Meeting & Study Rooms

Meeting and study room reservations must end 15 minutes before the library closes. If your search goes up until closing time, you will not see any results.

Study rooms can be booked up to two weeks in advance.

Study rooms are in high demand and the library will hold a room reservation for no more than ten minutes. If you are running late, please call the library at (608) 849-4217 to hold your reservation.

Reservations for Community Hall must be made and approved 4 weeks prior to the event.

Reservations for the Board Room must be made and approved 2 weeks prior to the event.

Community Hall rates are based on time and day of the week. 

Community Hall & Board Room Rates

The Board Room is free to use for all government bodies, as well as local nonprofits registered within the Waunakee Community School District. There is a 2-hour minimum and hourly rate for all other groups.

Community Hall payment is due in full 4 weeks prior to the event. 

Board Room payment is due in full 2 weeks prior to the event.

We accept credit or debit cards, as well as cash or check made out to Waunakee Public Library. Checks can be mailed to the Waunakee Public Library, 201 N Madison Street, Waunakee, WI 53597. (attn: Events)

Community Hall

  • Cancellations requested more than 4 weeks of the event date will receive a full refund of the total payment due.
  • Cancellations requested more than 2 weeks but less than 4 weeks of the event date will receive a 50% refund of the total payment due.
  • Cancellations requested less than 2 weeks of the event date will not be refunded.

Board Room

  • Cancellations requested more than 2 weeks of the reservation date may reschedule within 30 days or receive a full refund of the total payment due. 
  • Cancellations requested less than 2 weeks of the reservation date will not be refunded. 

All refunds will be in the form of a check or refunded to the card used.

The library allows outside food and caterers in both Community Hall and the Board Room at no extra cost. For an additional fee, alcohol may be served but not sold in Community Hall. Alcohol is not allowed in the Board Room.

Community Hall includes a projector, 5 wireless microphones with stands, Aux/HDMI connection and adapters. For a full list of equipment, view the Rental Guide.

Board Room includes: TV screen and remote, Aux/HDMI connection and adapters, webcam and phone.

Rental times must include any set up and take down time needed. For larger events, day before set up time may be available for an additional fee.

Rental times must include any set up time needed, including testing technology. Tech instructions are provided in the room. For further tech related questions call 608-849-4226.

All Renters are expected to bag all trash and recycling, clear tables and remove any leftovers from the warming kitchen if using Community Hall. Library staff will remove trash and put away tables and chairs.

Renters must leave the space at the agreed upon end time. Reservations must include the time you need for clean-up. 

Community Hall rentals are available during open library hours, as well as after hours on Fridays and Saturdays until 10pm. 

Board Room rentals are available during open library hours and must conclude 15 minutes prior to close.

Open flames, catering cans, or Sternos are not allowed anywhere in the library. All outlets in the warming kitchen may be used for crockpots or Nescos etc. To avoid blowing a circuit, only one appliance may be plugged into each wall in Community Hall.

Heating food is not allowed in any of the other meeting rooms, including the Board Room.
